Key Volunteers

Volunteer coordinator(s) (revised position)

  1. Work with executive and key volunteers to identify specific volunteer opportunities for job jar, noting recurring and non-recurring positions and update descriptions annually of recurring positions
  2. Liaise with team managers, who will be assisting families in finding volunteer opportunities
  3. Vet and recommend to the President or appropriate key volunteer for 'freeform' and non-recurring roles
  4. assist volunteers with understanding job requirements, linking them to appropriate prior incumbents or key volunteers
  5. solicit and address feedback in job jar descriptions to improve job descriptions/volunteer experience, seeking ways to make volunteer positions more fun and seek opportunities to make drudgery at least shared

  6. Assist registrar in linking job jar to registration system or placing on bid page, as applicable
  7. Administer online job jar (bid page) that includes contact information, timing, etc.,
  8. Collect information on task completion (online?)
  9. Contact previous year's parents in late November to fill pre-season positions, emphasizing critical positions designated with executive/key volunteers
  10. Send periodic reminders to team managers
  11. Provide information to registrar on refunds as tasks completed
  12. Assist key volunteers with organizing staffing of large events, including fields and equipment/uniforms, and opening day, that require multiple volunteers

Fields/parks board liaison 

  1. Organize maintenance of playing fields  
  2. Assist the equipment manager with the equipment associated with fields.  
  3. Co-ordinate necessary work parties.
  4. Liaison with Vancouver Parks Board, including permits

Head coach

  1. Observe coaches, provide feedback to coaches and division coordinator on any issues
  2. maintain contact and certification information

Umpire in Chief (revised 2011)

  1. Interpret the Official Softball Rulebook and the special rules as set down by the Association upon the request of umpires, coaches, team managers, or any interested person connected with the league.
  2. Receive comments on umpires from coaches
  3. arrange for Umpire training and clinics.
  4. Evaluate and mentor umpires
  5. Schedule umpires
  6. Work with new umpires in games to build their skills and confidence
  7. UIC for any tournaments that VWMSA may run

LTP coordinator

  1. Receive all registrations from players in your division.
  2. Decide on team format
  3. Recruit coaches from contacts, registrations
  4. Form the teams based on (a) preferences (b) school/year, (c) practice day conflicts
  5. Hold a parent meeting if necessary or desirable.
  6. At division coaches meeting, provide team lists and schedule, finalize practice schedule, discuss format, distribute coaching materials. 
  7. attend and assist at opening day
  8. liaise with coaches as necessary
  9. manage division webpage
  10. Gather comments and correct names for certificates/trophies
  11. Provide trophy information to coordinator (name, team)
  12. Print certificates
  13. Distribute certificates/trophies
  14. Assist recruiting successor, hand over information

Mites coordinator

  1. Receive all registrations from players in your division.
  2. Recruit coaches from contacts, registrations
  3. Form the teams based on (a) preferences (b) school/year, conflicts
  4. If number of teams substantially different from previous year, discuss with scheduler, otherwise inform scheduler of the number of teams in each division
  5. Hold a parent meeting if necessary or desirable.
  6. Plan and attend coaches meetings for your division. Provide team lists and schedule.  Finalize practice schedule.  Discuss Division playing rules.  Distribute coaching materials.
  7. Determine division playing rules in consultation with head coach. 
  8. attend and assist at opening day.
  9. Manage division webpage
  10. Liaison with coaches as necessary
  11. Decide on closing format.
  12. Gather electronic copies of comments and correct names for certificates/trophies from managers
  13. Provide trophy information to coordinator (name, team)
  14. Print certificates
  15. Distribute certificates/trophies
  16. Assist recruiting successor, hand over information
