ExecutivePresident - Act as chair of all executive meetings and the Annual General Meeting.
- Main spokesperson for the VWMSA with other Districts, Associations, Softball BC etc.
- Signing authority on all VWMSA checks, with the Treasurer.
- With the Executive, establish annual key dates calendar.
- Appoint committees from time to time, as needed.
- Deciding vote at executive meetings and AGM, if required.
Past president 1. Assist and advise the President. 2. Carry out other duties from time to time as required.
Vice president - Assist the President as required.
- In the absence of the President, has Presidential powers and duties.
- Signing authority on VWMSA checks.
Secretary 1. Record the minutes of all VWMSA executive meetings and the Annual General Meeting. 2. Co-ordinate correspondence required from time to time. 3. Provide teams with Softball BC registration forms. 4. Assist Coaches/Managers to prepare and file accident reports and insurance claims. 5. File reports and resolutions in compliance with the B.C. Societies Act 6. Arrange facilities for meetings. 7. Ensure adequate notice is given of all VWMSA meetings. 8. Perform other duties related to the office of the secretary, as required from time to time.
Treasurer 1. Maintain the financial records of the VWMSA. 2. Prepare financial statements as necessary. 3. Undertake financial analysis required by the VWMSA executive. 4. Accept and deposits funds from registration fees, clinics etc. 5. Responsible for preparation of draft budget for approval by Executive. 6. Countersign all VWMSA checks.
Registrar 1. Register all members of the Association. 2. Advise cross-boundary registrants of requirements. 3. Report to Softball BC on all items re: registration.
Division Coordinators - Squirts, PeeWee, Bantam, Midget- Once elected or selected, contact outgoing co-ordinator to get the prior year's files.
- Attend executive meeting meetings (typically monthly November to May)
- Receive all registrations from players in your division
- Form the teams in your division, considering preferences and emphasizing team continuity
- Liaise with the scheduler, especially if team numbers increased from previous year
- Recruit sufficient coaches, consulting Head Coach and coach database
- Set division playing rules in consultation with Head Coach and Umpire in Chief addressing prior years and feedback from prior year coaches
- At coaches meeting, provide team lists, schedule, unique division playing rules for your division.
- Attend and assist at Opening Day.
- Coach liaison during season and update coach database for your division
- Manage division webpage
- Determine format and objectives of playoffs.
- Attend playoffs and hand out trophies.
- Assist with recruiting certified coaches for Provincials if necessary
- Consider ideas to improve your division for next year - discuss with coaches and consider survey results, if any.
- Assist with recruiting successor as applicable.
